Departmental Account Requests

Department login credentials are required to purchase monthly, weekly or daily passes. In order to request login credentials, you must have the authority to use your department’s billing accounts.


Vehicle Change

Changing your vehicle on your account: 

Permit holders have the option to manage their vehicles on their account through the online permit portal. No physical permit will be issued and only one (1) vehicle will be registered and active on each account. As a result, it is imperative that your vehicle information is accurate. Permit Purchase

Please be aware, requester cannot purchase permits for themselves, as the only payment option is a journal voucher (debit memo). The University’s “one-up” policy (see link here for more information)  must be followed at all times. If you have been authorized by your superior to purchase a permit for yourself, they must send an authorization e-mail to transportation@utoronto.ca.

Once your request is processed, a permit(s) and receipt will automatically be generated and sent to the e-mail address listed in the department contact e-mail field. This should be the person that requires the receipt for documentation purposes and is administering permits. This e-mail receipt can only be generated once so please be sure the correct e-mail address is input.

Only one license plate is allowed per permit. Vehicle changes or license plate corrections are not allowed. Please ensure the license plate is inputted correctly. If an error has been made with the license plate, Transportation Services must be notified via e-mail (transportation@utoronto.ca) immediately. If a correction is required, a new permit with the correct license plate will have to be purchased and the cancellation of the pass with the incorrect license plate will be subject to an administrative fee. Any requests received after the active date of the permit in effect will not be fulfilled.

There must be a minimum of one (1) contact in your account. This contact will be the person responsible for ordering permits and must be authorized by the department to use their billing numbers.

Any cancellations will be subject to an administrative fee. A permit cannot be cancelled during or after an active date.

Parking Rates

All 2023/2024 Permits are annual permits that are valid as of May 1, 2023 to April 30, 2024, inclusive. Rates include HST.

Cancellation Policy

Permit holders may submit a cancellation request (by downloading the fillable cancellation form, electronically completing & signing it) for their permit at any time. Cancellation requests must be received by the Transportation Services office on or before the last business day of the month, during our normal business hours, Monday to Friday, 8:15 am to 5:00 pm (summer hours in July and August are Monday to Friday, 8:15 am to 4:30 pm), so there will be no charge for the following month. An administrative fee will be applied for all (non-annual) temporary permits.

Meaning, if the last day(s) of the month falls on a weekend or statutory/University holiday (i.e. typical days our office is closed) and the form is submitted on such a date, the submission will be considered past due and parking fees will still apply for the following month.

Once the permit is expired in our database, parking on University property will require payment at a Pay-by-Plate machine or use of the pay-by-phone app, ParkedIn. There is no area, time or circumstances that allow for free parking on campus. Proof of purchase must always be verifiable by Parking Control Officers. Failure to do so will result in a Parking Violation Notice (also known as a ticket) being issued to such unauthorized vehicles.

A telephone call or e-mail to the Transportation Services office, signalling your intent to cancel your permit, is not sufficient to effect a cancellation. Payroll deductions will not be stopped, or refunds of prepayments authorized, until a Transportation Services cancellation form has been sent to transportation@utoronto.ca.

A permit must be cancelled when university employment is terminated. A break in service extending beyond one month (other than for an approved leave-of-absence) is considered to be a termination.
